Common questions

How long does implementation take?

Typically 8 to 12 weeks for the initial build, depending on the number of source systems and dashboard complexity. Student Insights is usually first, followed by Operations.

What school systems do you connect to?

We integrate with major SIS and LMS platforms (Synergetic, TASS, Schoolbox, SEQTA, Sentral, Canvas, EduMate, Accelerus), Finance systems, HR platforms, and external testing providers (NAPLAN, PAT, AAS, ICAS, CAT4).

Do we need existing Azure infrastructure?

Not necessarily. We can help establish Azure and Fabric environments as part of implementation. Most schools already have Microsoft 365 which provides a foundation.

What’s included in the annual subscription?

Nightly pipeline monitoring, technical support with a three hour response target during business hours, dashboard maintenance, an annual allowance of development time agreed with your school, and training sessions.

How is EduBI priced?

A flat annual subscription covering the platform, its ongoing management and support. Pricing reflects the scope of what we build for your school, not the number of people using it. There is no per seat cost, so you can give access to your whole leadership team without the price changing.

Who can see our data, and how is access controlled?

Everything runs inside your own Microsoft tenant. Access is governed by your existing Entra ID accounts and your Power BI workspace permissions, so you decide who sees which dashboards. Row level security can further restrict what an individual sees within a report, for example limiting a Head of Year to their own cohort. We work inside your environment only as your IT team permits, and that access can be withdrawn at any time.

What happens when we change student information systems?

Your history stays. We retain the historical data in your data platform and repoint the models at the new system, so reporting continues across the change instead of restarting from zero. It is a common reason schools come to us, and the problem our SIS Archiving service exists to solve. A on-off conversion fee may apply.

Do our staff need to know Power BI?

No. Most people only ever read the dashboards we build, which takes a short walkthrough rather than training. For schools that want to build their own reports on top of the models, we run sessions for that, and the models are structured to make it straightforward.
